PlanningWithCards: agile estimates helps remote teams estimate their software development tasks via HipChat using the Planning Poker technique.


To get started with our add-on and start estimating with your team, please take a look at our documentation.


Installation

In order to use PlanningWithCards: agile estimates to play Planning Poker with your team and estimate on your tasks, you need to be part of a HipChat group.


If you are not currently part of a group, follow these steps to create one.

Creating a HipChat group

Step 1

Go to https://hipchatapi.hipchat.com/sign_in and click on Create a new group.

Step 2

Provide your name and work email and click on Continue to create an account..

Step 3

Click on Create a new team.

Step 4

Provide a name for your team and click on Name my team.

Step 5

Provide the email of the people you want to invite to your Group and click on Send Invites.

Step 6

You are now on your HipChat Room.

Follow the next steps to install the PlanningWithCards: agile estimates add-on in your HipChat Room.

Downloading the PlanningWithCards: agile estimates add-on

Step 1

You already have a Room on HipChat, so the next step is to click on Add Integrations on the right sidebar.

Step 2

You will see a list of all the add-ons available for HipChat.

Step 3

Scroll until you find PlanningWithCards: agile estimates or hit ‘Ctrl F’ in Windows/Linux or ‘Cmd F’ in Mac and type PlanningWithCards.

Step 4

Click on the add-on and you will see its description. Click on Add integration.

Step 5

A Dialog will appear. Click on Approve to add the PlanningWithCards: agile estimates add-on to your HipChat Room.

Step 6

The add-on has been added. Return to your Room to start using it to estimate on your tasks.

Step 7

In your Room, you should see the add-on on the right sidebar. A message will also appear on your Group chat stating that the add-on has been installed.

Follow the next steps to set up the game.

Playing without a backlog

Launching the add-on

Step 1

To start a Planning Poker session without importing a backlog, simply make sure your team members are in your HipChat Room and click on the PlanningWithCards: agile estimates add-on to launch it. It is shown on the right sidebar as Estimates.

Step 2

Once you’ve clicked on the add-on, it will open on the right sidebar.

Follow the next steps to pick a card set and finish setting up the game.

Setting up the game

Step 1

Click on Setup the game.

Step 2

Click on No to the option of using of backlog.

Note: If you want to estimate on your backlogs from your PlanningWith.Cards Dashboard, JIRA, Trello, Pivotal Tracker or YouTrack, follow these steps instead.

Step 3

Click on the menu below Please select a CardSet to see all the card set options available.


Once you’ve selected a card set for your estimating session, click on Let’s play.

Playing Planning Poker

Step 1

Once all your team members are inside the Room, you will start an estimating round for one task.

Step 2

Click on New Round to input a name for the task you will estimate and click on Ok.

Step 3

Select the card that best reflects your estimate and click on I’m Ready.

You will be able to see which team members have selected a card already.

Step 4

Once everyone is ready, the results for that round will be shown. You will see the average estimation, as well as the maximum and minimum.

In case team members voted differently, you should discuss the task and click on New Round to vote again. The objective is to have new rounds until consensus is reached and everybody votes the same.

Step 5

Click on New Round to estimate again.


When consensus is reached and everybody voted the same, this message will appear on your Room displaying the chosen estimate:

Keep clicking on New Round and estimating until you have estimated all of your tasks.

Playing with a backlog

Launching the add-on

Step 1

To start a Planning Poker session importing a backlog, simply make sure your team members are in your HipChat Room and click on the PlanningWithCards: agile estimates add-on to launch it. It is shown on the right sidebar as Estimates.

Step 2

Once you’ve clicked on the add-on, it will open on the right sidebar.

In order to be able to estimate on your backlogs, you will need to have a PlanningWith.Cards account. If you don’t have one already, follow these steps to create one.

Creating a PlanningWith.Cards account

Step 1

Go to PlanningWith.Cards and click on Sign in with Google.

Step 2

Sign in to the email account you use on HipChat and click on Allow.

Step 3

Once you’re logged in, you will be taken to our Dashboard. You’re all set!

To manually create a backlog and estimate it, follow these steps.

If you want to import your backlogs from JIRA, Trello, Pivotal Tracker, and YouTrack follow these other steps.


Note: If the email account you use for PlanningWith.Cards and HipChat are different, please follow these steps:

Step 1

To connect with HipChat you need to go to Settings.

Step 2

On the left side panel, click on Integrations.

Step 3

Click on the HipChat box and provide the email you use on your HipChat Group in order to connect your account. Click on Add once you’re ready.

Step 4

A confirmation email will be sent to your account. Once you confirm it, you will be all set!

Creating a backlog

Step 1

Once in your PlanningWith.Cards Dashboard, you will be able to manually create a backlog by clicking on + Create Backlog.

Step 2

On the type of backlog you want to use, select From Planning Poker.

Step 3

To start, write a name for your backlog and click on Create backlog.

Step 4

Click on + Add task to start creating tasks on your backlog


Step 5

Once you’re done writing all the tasks you want to estimate, you can return to your HipChat room. There, you will be able to estimate on your backlog with your team.

Estimating on backlogs from JIRA, Trello, Pivotal Tracker and YouTrack

Step 1

Once in your PlanningWith.Cards Dashboard, you will need to go to Settings.

Step 2

On the left side panel, click on Integrations. Select the Project Management Platform you want to import your backlogs from.

Step 3

Click on the following links to see a step by step guide on how to connect with each platform.


Note: You must be logged in to your PlanningWith.Cards account to view our guides.

Step 1

Click on Setup the game.

Select the backlog you want to estimate on.

Step 1

Once all your team members are inside the Room and you have already selected the backlog you want to estimate on, you will start an estimating round for each task.

Step 2

Select the card that best reflects your estimate and click on I’m Ready. You will be able to see which team members have selected a card already.

Step 3

Once everyone is ready, the results for that round will be shown. You will see the average estimation, as well as the maximum and minimum.

In case team members voted differently, you should discuss the task and click on New Round to vote again. The objective is to have new rounds until consensus is reached and everybody votes the same.

When this happens, a message will appear on your Room displaying the chosen estimate.

Step 4

Click on Next Task to estimate on the next tasks on your backlog.


Step 5

Once you’ve estimated all of your tasks, you will see the following message:

To view your results on your PlanningWith.Cards Dashboard, follow these steps.

Viewing your estimates

Step 1

Go to PlanningWith.Cards and sign in to your account.

Step 2

Select the backlog you want to see.

Step 3

You will see the tasks you estimated as well as the result.

Step 4

Click on each task to expand it. You will be able to see the estimates made by each participant, as well as the average, maximum and minimum result for each round of that task.

FAQ

1. Can I install this add-on in the server version of HipChat?
  No, PlanningWithCards: agile estimates is only available for HipChat Cloud.
