Agile Retrospectives for Confluence

Agile Retrospectives for Confluence helps teams run retrospective sessions inside Confluence in an interactive and engaging way.

Team members can easily input their ideas simultaneously to recap the sprint, discuss topics, vote for the most important ones and interactively assign action items to team members. At the end of the session you get an easy to digest summary that lets you quickly sort the results and keep track of the progress on the action items.

Installation

Installing from scratch

In order to use the Agile Retrospectives Add-on you need to be part of a Confluence Instance.


If you are not currently part of a group, follow these steps to create one.

Creating a Confluence Instance

Step 1

Go to www.atlassian.com and either click Try or Buy link.

Step 2

Look for Confluence product and click Try cloud button.

Step 3

Click Try it free.

Step 4

Provide a name for your site, enter Full Name, enter a valid email, define a password and click Continue.

Step 5

Provide the email of the people you want to invite to your Confluence Instance and click Send Invitation.

Step 6

Open your email inbox and click Verify email address.

Step 7

Login to your new Instance of Confluence with your email and password and then click Log in.


Installing the Add-On in your Confluence Instance

Step 1

You already have an Instance of Confluence and are logged in as the Administrator, so the next step is to click on Confluence Administration (gear icon) and select the Add-Ons option.

Step 2

You will see a list of all the add-ons available for Confluence, on the left-side menu click the option Find new add ons.

Step 3

Enter in the search text field "Agile Retrospectives for Confluence" and press enter in your keyboard.

Step 4

You will see the add-on Agile Retrospectives for Confluence available, click Install.

Step 5

Confirm add-on installation modal is displayed, click Accept & install.

Step 6

Installed and Ready to go message is displayed, click Close.

Creating your first page in Confluence with the Add-On

Create your first page

Step 1

To start a Confluence session you have to create a Space. On the top menu click Spaces and select the option Create space.

Step 2

Space info is displayed, click Create.

Step 3

Blank space template is pre selected, click Next.

Step 4

Define a Space Name and a Space key (auto populated), click Create.

Step 5

Your new Space is created, click the link Create.

Step 6

Define a title of your page, press enter from your keyboard.

Launch the Agile Retrospectives Add-On

Step 1

Click in the second line of your page and type "{" + "Agile" and then select the option Agile Retrospectives for Confluence.

Step 2

Once the Agile Retrospectives Add-on is launched, click Insert.

Step 3

Your add-on is inserted to the page, click Publish.

Step 4

Your retrospective session is published and ready to be started.

Share the Agile Retrospectives session with the team

Step 1

Once your page and the retrospective session are published, click Share and select the available contacts registered in Confluence and click the Share button again.

Step 2

As invitee you should receive an email notification to join the session of the Agile Retrospectives. Click Set my password to join the Retrospective, define your password and login to Confluence.

Playing the Agile Retrospective Add-On

Waiting for your team members

By default the Get Started button is disabled until at least one member joins the retrospective session, assuming the invitations have been sent through the Share icon.

Get Started

At least one invitee has to join the session and then you can click on Get Started. The Think screen will be displayed.

Think ideas

Step 1

"Think" allows users to express what went well and what didn't go well during the sprint in real time. Type your ideas, hit enter for each one and click I'm Ready when you are done.

Step 2

Once the Moderator confirms with the team that they are ready, the moderator can click Next and the Group screen will be displayed.

Group Ideas

Step 1

In Group screen the users can associate related ideas to create groups. Drag and drop similar ideas to group them by affinity.

Step 2

When the groups are collapsed, you can extend the entire group with one click in the cards associated.

Step 3

To separate ideas from groups, only drag and drop the cards you want to separate to the dotted zone.

Step 4

Once the Moderator confirms with the team that they are ready, the moderator can click Next and the Vote screen will be displayed.

Vote Topics

Step 1

In the Vote screen the users can vote for the most important ideas. Click the icon of thumbs up to vote for an idea and click I'm Ready when you are done.

Step 2

Once the Moderator confirms with the team that they are ready, the moderator can click Next and the Discuss screen will be displayed.

Discuss and Create Action Items

Here the users are able to select any topic or group of topics and create action items to resolve the issue. Select the target topic, Write the action item and hit enter to save it.

Delete Action Items

In case you want to delete an Action item, only click the Trash icon to remove it.

Assign Action Items

For any action item, you can define who will be responsible for executing it and assign it to that particular team member. Click the Person icon and assign the action item to the user.

Publish Results

Step 1

Once the Moderator confirms with the team that they are ready, the moderator can click Done and the Retrospective Results screen will be displayed.

Step 2

A summary of the retrospective session will be displayed. You can Check up Action Items when they are done.

Filter Results

Step 1

You can filter Action Items by All, Resolved, Unresolved or Assigned. Only click the Drop down menu and select the preferred view option.

Step 2

In Topics Went Well, you can filter them by All Topics, Most Voted Topics and Least Voted topics, only click the Drop down and select the preferred option.

Step 3

In Topics Didn't Go Well, you can filter them by All Topics, Most Voted Topics and Least Voted topics, only click the Drop down and select the preferred option.

Reopen session

When the Moderator requires to update their retrospective, click the Reopen button and the session will be reloaded at the beginning to Think, Group, Vote and Discuss ideas.

FAQ

What are the prerequisites to install Agile Retrospectives Add-on?
You need to have a Confluence Instance or domain. You can try or buy one in www.atlassian.com.
You will have to be Administrator in Confluence to install the Add-On.


Where can I download the Agile Retrospectives Add-On?
As the Administrator in Confluence, go to Confluence Administration -> Select Add Ons -> Select Find New Add Ons -> Search by Agile Retrospectives for Confluence -> Install it.

How many users are required to start a retrospective?
At least two users, the Moderator and one invitee must join the session in order to start the retrospective.


Why do some ideas appear blurred in Think step?
Since the users are playing a live session, the ideas of others appear blurred so participants are not biased by the topics created by their team members. During the Group step, all ideas are unveiled and they can be grouped.


What type of users can I assign the action items to?
Action items can only be assigned to users registered in Confluence. The users should be enrolled in Confluence and they should participate in the retrospective session.


Can I update a completed retrospective?
The Moderator can reopen a completed retrospective and the rest of the team can collaborate to update the information processed.
